The Magazine Manager invoicing system is both easy to use and extremely flexible. Turn insertion orders into contracts with the click of a button. Information repopulates automatically. The Magazine Manager handles complex publishing billing functions such as production charges, net/gross adjustments, multiple invoice line items, surcharges, installment billing and barter.

Receivables

To receive a payment or make payment, enter company name,select payment type, and click pay! Charge advertisers’ credit cards directly from The Magazine Manager.

Quick Books Integration Package

A new QuickBooks Web Connector integration package allows data to be synchronized from The Magazine Manager directly to QuickBooks. Address change data, new invoices and payments are moved into QuickBooks as they are made in The Magazine Manager.

Synchronize Billing

The Web Connector, along with The Magazine Manager QuickBooks module, eliminates the need to duplicate accounting tasks by pulling accounts receivable information directly from The Magazine Manager. This way, you can manage all advertising related accounting information (including customer billing info, invoices, payments) in The Magazine Manager and keep QuickBooks for your other general ledger needs.

Ease of Use

Once invoices are created or payments are received, the information can be sent to your QuickBooks company file using a simple Magazine Manager web page. This page provides you total control over which information is accessible by the QuickBooks Web Connector. In addition, billing contact/address changes in The Magazine Manager are automatically updated in QuickBooks to keep your billing information synchronized.

Your data is protected using an SSL Certificate which utilizes a 1024 bit key. By encrypting the data, The Magazine Manager ensures that your data is safe during transport over the internet.

Communications Options

The Magazine Manager allows you to preview, print, print to PDF, fax or e-mail your invoices! Reps can access open invoices directly from their client files. All invoices are stored in your database and can be found from the invoice search screen for future reference.

Search Capabilities

Search for invoices by several criteria including: Company Name, Publication, Invoice Date or Number, Sales Rep, First and Last Name, Issue, Due Date, and Invoice Total. You can also filter by “all invoices”, “open invoices”, “open barter invoices”, “closed invoices”, and “past due invoices”.

Detailed Reporting

Various reports include: Payment Detail by Publication, Invoice Detail by Customer, Payments Received, Invoice Payments by Customer per Month, Invoice Payment by Rep per Month (great commissions report), A/R Aging Summary, and Voided Invoices/Payments.
